How do I dispute a Green Motion damage claim?

Green Motion's UK terms charge by a damage matrix plus a £35 to £75 admin fee and keep you liable after an out-of-hours return until inspection.

Before the due date

  1. Dispute both the damage and the amount in writing to your Green Motion branch within 30 days of the return date, quoting the rental agreement number, without paying or admitting anything.
  2. Ask Green Motion for the check-in record with the inspection time, the pickup check form, the original photos with metadata, the repair invoice or appraisal and, in the UK, the charging matrix.
  3. In the UK, check the damage size against Green Motion's own thresholds, scratches from 40 mm and dents from 20 mm, and the admin fee against its 35 to 75 GBP range.

How Green Motion handles damage found after return

Green Motion compares the car at return with the condition noted on its vehicle check form at pickup and charges you for the difference. The UK rental agreement makes you pay “the reasonable cost of repairing any extra damage which was not noted on our vehicle check form at the start of the agreement, whether you were at fault or not” (clause 7). Green Motion UK rental agreement

Green Motion is a franchise system. The UK terms say your branch “is owned and managed on a local level”, and the Swiss terms say Green Motion Limited acts only “as an agent / intermediary” for bookings on its website. Your claim usually comes from the local operator named on your rental agreement. Green Motion country terms

In the UK the amount comes from a table, not only from a workshop. The country terms say Green Motion applies “a change in condition charging matrix plus a damage service administration fee varying between 35 GBP and 75 GBP dependant on type of damage and repair type required.” The next sentence reads “This is available on request.”

What Green Motion’s terms say, country by country

United Kingdom. The rental agreement asks you to return during opening hours and to make sure staff inspect the car. For out-of-hours returns it says: “you will remain responsible for it and its condition until it is first inspected by our staff on the first working day following its return.”

The country terms set size thresholds for chargeable damage: scratches from 40 mm, dents from 20 mm, any dent on the roof or underneath, and zero tolerance on glass and alloy wheels. They also say “short term vehicle rental does not have a margin of fair wear and tear for damage”, meaning hires under 90 days.

Loss of income is charged at the published daily rate, but the agreement limits it: “We will only charge you for our loss of income to the extent that we cannot recover such losses under the Insurance Programme.” Depending on the package, the excess ranges from zero up to 5,000 GBP. The terms say CDW and TP limits “will not apply if the terms of the rental have been broken.”

Complaints go to the branch first. If there is no response within 5 days, or no solution, UK customer service mediates at gmuk@cs.greenmotion.co.uk. The deadline: “Any complaints should be made via email within 30 days of the return date.” The agreement is governed by the law of the country where you signed it.

Switzerland. The country terms for the Zurich area locations put the out-of-hours risk on you: “Any damage caused to the vehicle, if returned out of hours, is the responsibility of the hirer until the rental agents have checked in the vehicle.”

Excess runs from 2,500 to 8,000 CHF on Basic down to zero on Premium Plus. Some items are outside the excess altogether, including wheels, tyres, windows, undercarriage, lost keys and “loss of use”. The security deposit “is held for 30 days and then automatically released.” Complaints must be made in writing through the online contact form within 30 days of the last rental day.

For the legal position, see the country guides for the United Kingdom and Switzerland. In Switzerland the rental company has to prove the damage happened during your rental.

Where Green Motion damage claims are often weak

These checks only help if you did not cause the damage. If you did, the amount can still be checked: repair invoice or matrix price, the admin fee, VAT and loss of use.

1. The custody gap. After an out-of-hours return, both the UK and Swiss terms keep you responsible until the first inspection. That is a rule about risk, not proof of when a scratch appeared. Check whether the inspection record gives a date and time, and how long the car stood unattended before it.

2. Photos without metadata. The UK terms say drivers are photographed at pickup, but they do not describe how damage is photographed at return. Check whether you received original image files with date and time, and whether they show the same car and location.

3. An estimate instead of an invoice. The agreement promises a “reasonable cost of repairing”. A matrix figure is a table value. Check whether you were charged a matrix price or an actual repair, and ask for the invoice. Loss of income can only be charged where the insurance programme does not cover it, so ask whether an insurance payment was claimed.

4. Fees above their own price list. The UK admin fee is capped at 75 GBP, and the matrix must be provided on request. Check whether the fee is within that range and whether the charged items match the matrix. Check the damage size against the 40 mm and 20 mm thresholds.

5. Their own terms against them. The agreement charges only for damage “not noted on our vehicle check form at the start”. Compare the claimed damage with your pickup check form and your own pickup photos.

How to respond to a Green Motion damage claim

  1. Do not pay and do not admit anything. Do not sign a damage acknowledgement at the desk or by email.
  2. Dispute in writing within 30 days. Write to the branch, quote the rental agreement number and say that you dispute both the damage and the amount. In the UK, copy UK customer service if the branch does not answer within 5 days.
  3. Request the evidence a solid claim would have. Ask for the signed return or check-in record with the inspection time, the pickup check form, the original photos with metadata, the repair invoice or appraisal, the UK charging matrix and, for an out-of-hours return, a log of who moved the car after drop-off.
  4. Check the card debit. Compare any charge with your deposit, your excess and the invoice. If a charge went through before you saw the evidence, tell your card issuer in writing.
  5. Keep everything dated. Keep emails, the voucher, the rental agreement and your own pickup and return photos in one place.

Questions

Am I liable for damage if I returned a Green Motion car out of hours?

The UK rental agreement says you stay responsible for the car and its condition until staff first inspect it on the next working day, and the Swiss terms say the same until the agents check the car in. That puts the risk on you, but it does not show when the damage happened. Ask for the time of that first inspection and the photos taken then.

What is Green Motion's damage administration fee?

The UK country terms add a damage service administration fee of 35 to 75 GBP, depending on the type of damage and repair, on top of a change-in-condition charging matrix. The matrix is available on request, so ask for it before you accept any amount.

How long do I have to complain to Green Motion?

The UK terms ask for complaints by email within 30 days of the return date. The Swiss terms ask for a written complaint through the online contact form within 30 days of the last rental day. Complaints after that may not be considered, so write early and keep proof of sending.

Does Green Motion charge small scratches in the UK?

The UK country terms list what counts as a chargeable change in condition: bodywork scratches from 40 mm, dents from 20 mm, any dent on the roof or underneath, and any glass or alloy wheel damage. Check the size of the damage in the photos against those thresholds.

Who do I complain to if the Green Motion branch does not answer?

Green Motion branches are franchised and run locally. The UK terms say that if you get no first response within 5 days, or cannot reach a solution with the branch, UK customer service will mediate. Send them copies of all your correspondence with the branch.
